1.0 The Problem
Retyping handwritten timesheets into accounting software is slow and error-prone.
2.0 Tinkabot and Grok's Job
A business owner connected QuickBooks Online to a bot called Tinkabot and wrote a Grok script that reads a PDF of technicians' handwritten timesheets and turns it into an uploadable Excel file, which the QuickBooks bot then files in the right place. Getting the Excel format right took some trial and error, and the owner planned to roll it out to all 25 technicians. They estimate it will save the company about 780 hours a year.
3.0 Caution
Getting the spreadsheet into the shape the accounting tool accepts took trial and error. Plan on checking the first batches by hand. Handwriting will not be perfect every time.
The first batches of this timesheet job needed trial and error. Plan on checking them by hand.
