Get a background brief on every new client inquiry

Researching every new inquiry by hand takes about an hour before you even know if the project is a good fit.

What the agent did

Elizabeth Klimczak Harris runs operations for a small architecture firm. The architect spent time before each first call looking up the property and neighborhood, and an intern spent more time pulling up maps and photos. She started building with Zapier's agent tool, then switched to a regular Zap when the agent couldn't connect to the AI service she wanted. Now each new inquiry in the firm's client system triggers web research and a written summary, which arrives by email with the property's value, neighborhood context, map links, and suggested questions for the call.

What the owner still checks

Property values and zoning details from the web are estimates. Confirm anything you'll quote to a client with official records, and keep client details out of tools you haven't approved for them.

Start with one small workflow and test it on a single example. Add an approval step before anything costly or customer-facing.

A new inquiry came in for a project at [address] with a budget of [budget] for [type of work]. Write a short brief for [owner]: the property's estimated value and size, the neighborhood and nearby comparable homes, anything that might affect the project (like lot size or zoning), whether the budget seems realistic for the scope, Google Maps and Google Earth links, and five questions to ask on the first call. Mark estimates clearly.
